Version History

How Version History Works

When you replace a document with a newer version, ToolDocs™ can retain the previous file for reference. The version number increments automatically, and the previous version is stored in the file history.

Configuring Version Retention

Go to ToolDocs → Settings → File Version History. Set the number of previous versions to retain:

  • 0 — No version history (old file is removed on replacement)
  • 1-4 — Keep the specified number of previous versions

The default is 0 (disabled). When the limit is reached, the oldest version is removed to make room for the new one.

Replacing a Document

  1. Open the file details panel by clicking the file name in the Dashboard.
  2. In the Replace Document section, drag and drop the updated file.
  3. The new file replaces the current version. The old file moves to version history (if enabled).
  4. All existing shortcodes and links continue to work — they automatically point to the latest version.

Viewing Previous Versions

Previous versions are listed in the Version History section of the file details panel, showing the file name, date replaced, and version number.
